Service Request and Provision Terms

1. Purpose

These terms explain the general process for requesting, quoting, scheduling, changing, cancelling and providing transportation services offered by RRC Travels. The particular terms of each service, including date, time, route, vehicle, capacity, price and payment method, will be stated in the relevant quotation or confirmation.

2. Service requests

Customers may request information through the website form, WhatsApp, phone or email. To prepare a quotation, RRC Travels may request contact details, approximate date and time, pickup and destination, passengers, luggage, stops, special requirements, flight number when applicable, and the requested vehicle or service. Submitting a request does not confirm a booking or automatically guarantee availability.

3. Quotations

RRC Travels will review the information and prepare a proposal based on the route, schedule, duration, vehicle, availability and other service characteristics. The quotation may state the service description, date, time, pickup, destination, vehicle, price, payment method, deposit and specific terms. Changes may affect the original price.

4. Validity and acceptance of a quotation

A quotation remains subject to availability until the service is confirmed. Customer acceptance does not automatically reserve a vehicle when availability is still pending or a required deposit has not been received. RRC Travels may update the quotation when the request changes or the stated validity period expires.

5. Service confirmation

A service is confirmed when the customer accepts the price and terms, RRC Travels confirms availability and scheduling in writing, and any required deposit is verified. Confirmation may be provided through WhatsApp, email or another agreed channel.

6. Scheduling deposit

Some vehicles, routes or special services require advance scheduling. RRC Travels may request a deposit equal to 50% of the service price. This requirement will be disclosed before payment. When a deposit is required, the booking is confirmed only after the payment has been received and verified.

7. Deposit terms

The deposit supports the scheduling of the vehicle, driver and other required resources. If the customer cancels after RRC Travels has made reservations, bookings or directly related expenses, the deposit may be used to cover those commitments. Any refund will be assessed according to the timing of cancellation, expenses incurred, previously communicated terms, circumstances of the service and applicable law. This provision does not limit any consumer rights that apply by law.

8. Customer-requested changes

Changes to date, time, pickup, destination, vehicle, passengers, luggage or duration are subject to a new availability review. A change is accepted only when confirmed by RRC Travels. If the change affects the route, time, resources or costs, the price may be updated.

9. Airport meet and greet services

The customer must provide the airport, airline, flight number, date and time, passenger identification details, number of passengers, luggage and destination. Known itinerary changes must be reported promptly. Extraordinary waiting time or significant airport, destination or itinerary changes may result in adjustments communicated in advance.

10. Customer cancellation

Cancellation should be reported as soon as possible through WhatsApp, phone or email. RRC Travels will review the notice provided, scheduling already completed, bookings, expenses incurred and accepted terms. When a refund applies, the amount and procedure will be communicated.

11. Changes or cancellation by RRC Travels

If RRC Travels cannot provide a confirmed service for a reason attributable to its operation, the customer will be informed and a reasonable alternative will be sought. If neither the service nor an accepted alternative can be provided, amounts received for the unprovided service will be assessed for refund according to the circumstances and applicable law.

12. External events and force majeure

Services may be affected by road closures, accidents, demonstrations, mobility restrictions, weather conditions, unexpected failures, government decisions, force majeure or unforeseen events. RRC Travels will maintain communication and seek reasonable alternatives whenever possible. Each situation will be assessed individually.

13. Waiting time

Any included waiting time will be stated in the quotation or confirmation. If the passenger does not appear, RRC Travels will attempt to make contact. Additional waiting time may affect the price when it disrupts scheduling, provided the adjustment is communicated to the customer.

14. Luggage, passengers and capacity

The customer must accurately report passenger and luggage requirements. RRC Travels will assign a vehicle according to that information and its safe capacity. Transportation beyond the safe capacity cannot be required. Changes must be reported before the service.

15. Conduct and vehicle care

Passengers must treat the driver respectfully, follow reasonable safety instructions, avoid risky conduct and care for the vehicle. Damage attributable to verified conduct may be assessed and communicated with supporting information.

16. Customer responsibilities

The customer agrees to provide accurate information, confirm service details, report changes, be present at the agreed place and time, communicate special requirements, pay the accepted price and refrain from requesting any condition contrary to safety or law.

17. RRC Travels responsibilities

RRC Travels agrees to communicate the service characteristics, terms and price; coordinate the vehicle and driver; provide the confirmed service except in justified circumstances; communicate relevant changes; address inquiries or complaints; and protect personal data.

18. Safety and compliance

The service is subject to traffic laws, mobility restrictions, instructions from authorities and reasonable operating conditions. Customers may not require the driver to exceed speed limits, violate traffic rules, park illegally, transport illegal or dangerous items, or take actions that compromise safety.

19. Requests, inquiries and complaints

Customers may contact RRC Travels at [email protected] or by phone and WhatsApp at +57 316 618 9588. The request should contain enough information to identify the service, describe the situation and allow a response.

20. Personal data protection

Personal data will be processed under the RRC Travels Privacy and Personal Data Processing Policy. Submitting an inquiry or complaint does not authorize the use of data for purposes other than those communicated.

21. Specific terms

A quotation or confirmation may include specific terms concerning the vehicle, route, duration, deposit, schedule or special requirements. When clearly communicated and accepted, such terms apply to that service without overriding mandatory law or consumer rights.

22. Applicable law

These terms are interpreted under applicable Colombian law. No provision is intended to limit non-waivable consumer rights or exclude liability that cannot legally be excluded.

23. Updates

RRC Travels may update these terms to reflect changes in services, processes or legal requirements. The current version will be available on the website.
